What we handle

The six things a practice cannot afford to get wrong.

Patient photo security

Before and after photos are the most sensitive thing a practice holds. We set up where they are taken, stored and backed up so they never sit on a personal phone or an open share.

iPads and shared devices

Intake and consent tablets locked to the apps they are for, encrypted, and wipeable the moment one goes missing.

Front desk and patient records

The practice management and records system kept patched, backed up and reachable from the front desk and every exam room.

Email and communication

Secure email, patient messaging and text reminders set up so patient information stays inside the practice.

Our crew
Cameras and door access

Entrances, the medication room and after-hours access, installed by our own licensed crew and managed with the rest of your IT.

Our crew
Wi-Fi, cabling and build-outs

Exam rooms wired, patient Wi-Fi separated from the practice network, and a second location built before it opens.

Platforms

What practices run on.

We support the systems you already run, and work with each vendor's own support team on the software itself.

A typical engagement

What the first ninety days look like for a practice.

WEEK 1
Assessment

Where photos and records live, which devices touch them, the network, the backups and the front desk workflow.

WEEK 2
Written plan

Support scope, the safeguards baseline, and any cameras, access or cabling work, with one owner at Regent5 IT.

WEEKS 3 TO 6
Onboard and install

Devices enrolled and encrypted, photo workflow fixed, backups tested, cameras and door access installed by our crew.

DAY 90
First review

What changed, what is open, and what the next quarter should fix. One page for the practice owner.

Patient records

HIPAA-aligned safeguards, written down.

We do not sell certifications. We do run the safeguards a practice's obligations actually depend on: encrypted devices, multifactor sign-in, access that is removed the day someone leaves, backups that have been tested, and a record of who had access to what. We implement what your compliance partner or consultant asks for and document it.

Questions

Practices ask us

How should a med spa store before and after photos?

In the practice's own managed system, taken on a managed device, backed up, never on a personal phone or an open shared folder. We set that workflow up and enforce it on the devices.

Is it safe to take patient photos on an iPad?

Yes, when the iPad is practice-owned, enrolled, encrypted, locked to the photo app, and wipeable if lost. A personal iPad is not.

Do you sign Business Associate Agreements?

We settle that during the assessment. Whether an agreement is needed depends on which systems and patient data we would handle, and the answer is put in writing before any work starts.

What HIPAA safeguards does a small practice need?

Encrypted devices, multifactor sign-in, access removed when staff leave, tested backups, and a record of who can see what. We implement and document those; a formal program is your compliance partner's work.

Can you install cameras and access control in a clinic?

Yes. Regent5's own licensed crew installs cameras and door access, and the IT team manages who can view and unlock what.

Do you support our practice software?

We support the platforms listed above and the vendor relationship behind them. If yours is not listed, ask.
